Your Mission

Virgin Galacric is seeking a Front Office Support Specialist to provide excellent customer service and administrative support to our front office. When guests arrive, we want them to find a friendly smiling face. Handling the day-to-day administrative duties such as maintaining office supplies, submitting purchase requisitions, and processing expense reports. The ideal candidate has strong communication skills, a positive attitude, and a strong work ethic.

 

  • Greet visitors warmly and provide hospitality that exemplifies the Virgin values. Connect them with the appropriate party.
  • Answer phone calls and manage voicemail.
  • Provide support to reception area. Ensure that facility security and visitor control requirements are met. 
  • General clerical duties such as data entry, faxing, record keeping.
  • Assist with incoming and outgoing mail.
  • Provide an organized and stocked workspace including office supplies and refreshments. Ensure IT and facilities needs are met.
  • Create, modify, and proofread documents such as reports, memos, letters, and presentations using advanced Outlook, Microsoft Excel and Word skills.
  • Using advanced Visio skills create process maps, organizational charts, floor plans and other Visio documents as required.
  • Enter and manage purchase requisitions in ERP system.
  • Prepare expense reports.
  • Update communications board for break room areas.
  • Support staff in assigned project‐based work as required; other duties as assigned including covering for other administration staff when required.
  • Book conference rooms and meetings.
  • Coordinate on site events or gifts for special occasions.
  • Proactively seek and provide solutions to process improvements across the department to refine workflows and efficiencies.

What you bring

  • Requires a high school diploma or equivalent. 
  • Preferred Associate’s Degree, or 2-3 years of relative experience in lieu of degree.
  • Microsoft Office Suite to include Word, Excel, PowerPoint, Outlook, and OneNote.
  • Capable of handling a large workload, effectively coordinate with multiple resources and multi-task in a fast-paced environment that may often have competing priorities with minimal assistance.
  • Strong communication skills both verbally and written with the ability to articulate requirements/actions/needs in a professional tone and attitude; exchange information to facilitate positive and efficient work processes and results (including written correspondence).
  • Strong teaming and collaboration skills that foster office unity and cohesiveness in support of VG goals, mission, and standards.
  • Proven ability to oversee processes to achieve objectives.
  • Ability to build strong business relationships with other functional areas to best support mutual objectives.
  • Strong problem-solving skills and ability to analyze workflow/processes to provide excellent service to internal and external customers.
  • Ability to effectively prioritize and execute tasks.
  • Excellent organizational skills, ability to multi-task and interact with staff at varying levels of experience.

 

Physical and/or Additional Requirements:

  • Work full time from our office in Las Cruces, NM.
  • Must be able to stoop, bend, crawl, and being able to maneuver in tight spaces.
  • Physically able to handle items weighing up to 40lbs (unassisted).

 

ITAR Requirements

To conform to U.S. Government space technology export regulations, applicant must be a U.S. citizen, lawful permanent resident of the U.S., protected individual as defined by ITAR (22 CFR §120.15) or eligible to obtain the required authorizations from the U.S. Department of State.
