Your Mission

The core responsibilities of the role include the following, although not limited to:

  • Manages heavy scheduling & calendar, plans meetings, and responsible for all key admin functions for head of Brand & Marketing group
  • At least 2-3 years of experience as a project coordinator or similar experience in overseeing multiple projects
  • Experienced in administrative support for senior level executives
  • Has completed research and competitive analysis, analysis of best in class marketing
  • At least 5 years’ experience supporting a diverse range of projects within a marketing and/or brand organization as well as diversity and inclusion initiatives
  • Duties could include:
  • The executive assistant supporting the senior executives and overall team members of marketing, brand and diversity and inclusion.
  • Integrate relationships between business units and central corporate functions to ensure success in meeting business and corporate goals and objectives
  • Staff event planning for applicable levels of the organization
  • Plan agendas based off interests, objectives, and goals
  • Tracks all budgets, POR’s, and works with Brand & Marketing and Finance to track spend
  •  Assist in developing project plans for assigned projects within marketing and diversity and inclusion
  • Review status of projects, manage schedules, and prepare status reports for senior staff level
  • Oversee and track special project tasks
  • Maintain high-level project schedules, raise potential issues
  • Maintain and revise procedures to ensure efficient and effective operation of programs/projects and supporting systems
  • Accountable to deliver business case of assigned projects within their defined responsibility in line with project assumptions
  • Estimate the resources and participants needed to achieve completion of projects
  • Proficiency in Keynote, Powerpoint a must. Create dynamic presentations in support of group’s presentations
  • Develop and deliver progress reports, proposals, requirements documentation, and presentations

  • Microsoft Office Suite to include Word, Excel, PowerPoint, Outlook and OneNote.
  • Capable of handling effectively a diverse set of daily work priorities to coordinate with multiple resources and multi-task in a fast paced environment that may often have competing priorities with minimal assistance.
  • Strong communication skills both verbally and written with the ability to articulate requirements/actions/needs in a professional tone and attitude; exchange information to facilitate positive and efficient work processes and results (including written correspondence).
  • Strong problem-solving skills and ability to analyze work flow/processes in order to provide excellent service to internal and external customers.
  • Excellent organizational skills, ability to multi-task and interact with staff at varying levels of experience.
  • Microsoft Office Suite to include Word, Excel, PowerPoint, Outlook and OneNote.
  • Strong organizational skills to organize and prioritize multiple project tasks on a daily basis.
  • Capable of handling a large workload, effectively coordinate with multiple resources and multi-task in a fast paced environment that may often have competing priorities with minimal assistance.
  • Strong communication skills both verbally and written with the ability to articulate requirements/actions/needs in a professional tone and attitude; exchange information to facilitate positive and efficient work processes and results (including written correspondence).
  • Proven ability to oversee processes to achieve objectives

ITAR Requirements

To conform to U.S. Government space technology export regulations, applicant must be a U.S. citizen, lawful permanent resident of the U.S., protected individual as defined by ITAR (22 CFR §120.15) or eligible to obtain the required authorizations from the U.S. Department of State.
