Main Purpose of the Role

 

VG is seeking an Administrative Assistant to provide analytical and advanced administrative project support services to various internal company functions and projects.

 

Your Mission

 

  • Greet visitors warmly and provide hospitality that exemplifies the Virgin values.
  • Create, modify and proof read documents such as invoices, reports, memos, letters and presentations using advanced Outlook, Access, Microsoft Excel and Word skills.
  • Lead minor cross-functional process improvement projects with input from Manager/Director.
  • Create business updates using advanced PowerPoint skills; coordinate on time receipt of contributor presentation materials and consolidate input from various sources, proof read and correct submissions, format and distribute materials in compliance with legal and export compliance, licensing, marketing and record keeping guidelines.
  • Manage workflow processes in and load data into PLM system (SharePoint).
  • Using advanced Visio skills create process maps, organizational charts, floor plans and other Visio documents as required.
  • Enter and manage purchase requisitions in ERP system (Ultramain).
  • Use strong organizational skills to set up and coordinate all aspects (logistics, hospitality, etc.) of high level meetings, conferences and team building events both on and offsite.
  • Prepare agendas and make arrangements for meetings including web based video conference meetings.
  • Prepare expense reports.
  • Manage meeting invitations through Outlook Calendar including management and training calendars.
  • Record, compile, transcribe and distribute minutes of meetings; store records in compliance with legal and export compliance requirements.
  • Provide support to reception area. Ensure that facility security and visitor control requirements are met. Support the security team updating metrics on a regular basis and update the access control system as required.
  • Support VG hospitality events which may include transportation and logistics support.
  • Coordinate with the administrative and HR staff for onboarding New Mexico new hires.
  • Support staff in assigned projectbased work as required; other duties as assigned including covering for other administration staff when required.
  • Provide an organized and stocked work space including office supplies and snacks, promote a happy healthy team, and ensure IT and facilities needs are met.

What you bring

 

  • Advanced computer skills, including intermediate knowledge of Microsoft Word, Outlook, Excel, Visio and Power Point.
  • Ability to meet and communicate with people in an efficient and tactful manner.
  • Ability to carry out work independently, from general instructions.
  • Ability to perform a variety of clerical tasks.
  • Excellent verbal and written communication skills.
  • Ability to interpret written information.
  • Excellent organizational skills and problem solving skills.
  • Good knowledge of      office etiquette and procedures.
  • 3 years of business experience in an operational environment desired.
  • Strong analytical skills required.
  • Knowledge of ERP systems desired.
  • A current NM vehicle license in good standing.
  • Willing to learn new skills and grow with the company.
